1 Logging in
There's no password. You log in with the email PlayHQ has for you (your Account Holder Email) and a one-time code.
- Enter your email address and click Log In.
- If you're offered Send the code by, choose Email or Mobile (SMS). If the club has no mobile for you, the code is emailed.
- Enter the 6-digit code and click Verify & continue.
A parent's login shows the team sheets for all of their children.
Next time, the login page fills in your email for you. If it's not you, click Use a different address.
No code? Check your spam folder, then click Resend code. Still stuck? Click send the club a question on the login or code page and the club will reply by email.
Your team's games
On My Sheets, each of your teams shows its next game under its training time: the teams you or your children play in, and the teams you coach or manage.
The next game is a coloured block — blue for a boys' team, pink for a girls' team — with:
- The grade, your team, and who it plays.
- The round, and Grading Game if it is one.
- The day and time.
- The venue and court.
- Home or Away.
Click Add Game to Calendar in the block to download that one game as a calendar event. It is an hour long, with the venue's name and the court in its title, and the venue's street address as its location so your maps can find it (with the venue's name in front where the address has no street number, and the venue's name alone where the club has no address yet). It doesn't repeat: add next week's game when it shows.
Click Earlier games under the block to see the games already played, newest first: the round, the date, who the team played, Home or Away, the venue, and the result and score — your team's score first, such as Won 34-28. A game with no score yet shows none; scores appear once the club has loaded them. The list stays open on that page while you work.
If there's no game coming, the block shows the team's last game instead. A week off shows as a Bye, with nothing to add to a calendar.
A team shows no games until the club has loaded the season's fixture. The games aren't on the team sheet itself, and the lists of every team that Age Group Coordinators and club admins see don't show them — only your own teams do.
If you're an Age Group Coordinator
My Sheets shows an extra Age Group Coordinator card listing every team in the age groups you coordinate. Click any team to see its full team sheet.
Use Show, beside the season at the top of My Sheets, to list only the teams without a coach, without a TM, or without either.
You also get Admin and Activity in the top bar — see the Admin guide under Help.
You can set up and change the scoring roster for any team in your age groups.
Season setup > Training Roster shows where and when every team is planned to train — the venue-by-day grid — so you can see it, but only club admins change it. Hours the club hasn't booked the court are hatched grey, and a team placed in one is flagged No court booked at this time; under each venue's name is what the club has booked there on each weekday. Once the club switches on its planning tools, an allocation also says what it is for — a team, Dribblers, the Open Mens Competition, another club — and one that has the whole court for the hour says so. A slot on a court whose evening starts at half past says its own time, like 5:30 - 6:30, and one the club has marked booked itself reads Booked (set by hand). Allocations can also carry small badges — Confirmed, Locked, Flagged, Coach required — and a note; these are the club's working notes and are only ever on this grid. An allocation held for a coach whose team isn't made yet says Held for and their name. A panel above the courts lists the teams that aren't on the grid: the ones that don't train, and the ones not placed yet. If the club has switched the grid to half hours, time runs down the page in half-hour rows with a column for each end of the court; an allocation shows its text, and clicking it shows everything else about it. Download Excel gives the same roster as a spreadsheet. See Tentative training times.
Find a team or coach on the Training Roster. Type in the box above the filters - a team code like BU14-05, a team's name, or a coach's name - and every allocation that matches stays lit while the rest fade. It searches whatever is typed in an allocation, so early on, before teams are linked, a coach's name or a note like coach required is found too; once a team is linked it also searches the team's coaches. Punctuation doesn't matter (bu14 05 finds BU14-05), and every word you type has to match. Under the box each match is listed with its court, day, time and end; press one to go to it. Clear the box to see the whole grid again.
When a parent, player or volunteer sends a Question for your AGC, or asks about Team allocation from a team sheet, the club's Help Desk emails you the question with a link. Log in to the Help Desk with the email address the club has for you and choose Questions for you as an AGC to answer it. They see your answer there; you see their name, never their email address or mobile.
Missing an age group? Ask a club admin to check your AGC details.
3 Reading a team sheet
Click a team name to open its sheet. It shows:
- The team, competition and season.
- The Training Schedule (day, time and venue), or Non Training for a team that doesn't train with the club.
- Players, by singlet number, with each player's parents and their mobile and email.
- Volunteers: the coaches and team managers, with their mobile and email.
- The team's Age Group Coordinator, by name only, with a Send a question button. It opens Submit a Question with Question for your AGC and the team already chosen. Not assigned means the age group has no AGC yet.
- Any contacts the club has added, such as for registration, fixtures, or team and uniform questions.
In the Volunteers table:
- Coach Required or Team Manager Required means nobody is in that role yet. Self Coaching means the team coaches itself.
- (proposed) means the club has put that person on the team but PlayHQ hasn't allocated them there yet.
- Alternate contact under a coach or team manager is a parent to contact for a volunteer under 18.
The buttons at the top of the sheet:
- Email All (BCC) — opens your email app with the whole team's addresses in BCC.
- Add Contacts (vCard) — downloads everyone's contact details to add to your phone or computer.
- On an iPhone or iPad, the vCard button opens the share sheet. Choose Save to Files, then open the file in Files and add the contacts. The phone adds them all as new contacts, even people already in your contacts, so afterwards open Contacts and tap Duplicates Found at the top, then Merge. On a Mac, Contacts offers to update people you already have instead, which is easier if most of them are already there.
- Add Training to Calendar — downloads the weekly training session as a calendar event. Shown once training is set.
- Scoring Roster — see Who's scoring this week.
- Request Refund — for your own players on the team. See Asking for a refund.
- My details — only for the team's coaches and team managers. Opens your coaching or team-manager section of My details in Club Volunteers, where your training, accreditations, coach survey and pay are. On My details, each team under Your teams is a link back to its sheet here.
- Print — see Printing a sheet.
To message the club about the team, click Got a question? Click here to send a message to the club under the Volunteers table:
- Under What's your query about?, choose Training time/location, Team allocation, Season information or General.
- Type your message under Details and click Send.
Your message becomes a ticket. The page gives you its number, you get an email when it is answered, and you can follow it under Help > My tickets. A Team allocation question goes to the team's Age Group Coordinator. Anything else goes to the club. Either way you are emailed that it has arrived, with its number.
Who's scoring this week
Click Scoring Roster on a team sheet to see which family scores each round. Anyone on the team can see it, and My Sheets shows who's scoring next round.
The team's coaches and team managers set it up. The team's Age Group Coordinator and club admins can too.
- Open the team's Scoring Roster.
- Click Create the roster. Every round is filled in with families taking turns in singlet-number order, skipping byes. If you're a coach with a child on the team, you can tick Leave the coach's family out of the rotation first.
- To change a round, pick a different family (or nobody yet) from its dropdown and click Save roster.
Start again fills every round in again from the start, back to families taking turns in order, so changes you made by hand are lost. It asks the same coach's-family question as when you created the roster, ticked the way the roster is now. Remove the roster clears it.
Click Print to print it or save it as a PDF, or Download CSV to open it in a spreadsheet.
The roster needs the season's round dates. If there are none yet, the page says so.
Tentative training times
The club plans training slots before it announces the teams, so you may see your team's training day, time and venue marked Tentative on its team sheet and on My Sheets, even if you don't yet know who else is on the team. Tentative means it's the plan, not a promise: it can still change.
- The Tentative mark goes when the club announces the teams. The day, time and venue stay as shown unless the club changes them, and then they show the new slot.
- Add Training to Calendar still works. While a slot is tentative the calendar event is titled (tentative), and it is marked tentative in your calendar too. Download it again once the teams are announced to get the confirmed event.
- You may see Draft instead. It means the same thing — the season's training plan is out for people to see and may still change — and the calendar event is titled (draft). The mark goes when the club confirms the plan.
- If you coach, My Sheets may show Training times held for you: times the club is keeping for you before your team is settled.
- A team with no training shown yet hasn't been given a slot. Coaches and team managers can ask the club on Submit a Question.
Season fixtures
On My Sheets, open About this page and actions under the welcome and click Season Fixtures to see the competition's round, bye and finals dates.
- Pick a season from the dropdown.
- Print prints the dates or saves them as a PDF.
- Scoring Roster opens your team's scoring roster - who is scoring each round. With more than one team, there is one for each.
Letting someone else see your team sheets
If your club has switched it on, the PlayHQ account holder can give access to:
- Another parent or guardian whose email is on your child's registration. They see all the players it's on. One per season.
- One of your players, so they can see their own team with their own email. One for each player.
- On My Sheets, open the Delegate access card and click Add a delegate (or Give a player access).
- Choose how to get a code, click Add a delegate, then enter the code and click Continue.
- Under Who is this for?, choose Another parent or guardian or one of your players.
- Enter their name (for a parent or guardian) and email. For a player you can add a mobile so their code can be texted.
- Click Send request.
The club checks each request and emails you both the answer. The person then logs in with their own email.
Access is for the current season only. You'll need to ask again next season.
To stop it, click Withdraw delegate (or Take away …'s access) on the Delegate access card. It stops straight away.
Asking for a refund
Refunds are handled on the club's Help Desk. There are two ways in:
- Click Request Refund on your player's team sheet, up with Print. You're taken to the Help Desk already signed in, with that registration chosen when you have one player on the team.
- Or choose Help > Request a refund and log in to the Help Desk with your account holder email. It asks Which registration? and lists everything you've registered, so pick the player it's for - useful when you have children on different teams.
The form shows what you paid in PlayHQ and what you may be eligible for. Add the reason, your bank details and any receipt or medical certificate, and send it.
You'll get emails as it moves along. You can also follow it, and reply, under My tickets.
4 Printing a sheet
- Click Print on the team sheet.
- In your browser's print window, print it, or choose Save as PDF.
Menus and buttons are left off the printout.
If the printout comes out portrait and cut off, set the layout or orientation to Landscape in the print window.
Your account and passkeys
If your club has switched passkeys on, you can sign in with your device's fingerprint, face or PIN instead of waiting for a code.
- Click your name in the top bar to open Your account.
- Under Signing in, follow the steps to add a passkey. You'll be sent a code first.
You may also be offered one straight after you log in. To use it, click the email box on the login page, or Sign in with a passkey. A code always still works.
To remove a passkey, click Remove beside it on Your account.
If something looks wrong
Try another season in the dropdown on My Sheets. If there's still nothing, you may not be registered for that season, your registration may not have reached Team Sheets yet, or you logged in with a different email from the one PlayHQ has. Ask the club to check.
A name, singlet number or contact detail wrong? It comes from PlayHQ, so correct it there. The change shows up here after the club's next update.
Anything else? Use Submit a Question.
Ask BlazerBot
If your club has switched it on, Ask BlazerBot — the button with BlazerBot's face in the top bar, right after the app's name, or Help > Ask BlazerBot — is a chat about how Team Sheets works, what the EDJBA by-laws say — a fill-in player, a ball size, a forfeit — and the club itself. BlazerBot answers from this guide, the by-laws and About the club — what the club is and does, and the season in numbers: players and teams by age group, volunteers by role, the season's dates and venues — and says which section each answer came from.
- Press Ask BlazerBot in the top bar (on a phone, BlazerBot's face beside the menu button), or choose Help > Ask BlazerBot.
- Type your question and press Enter (or click Send). Shift+Enter starts a new line.
- Not sure what to ask? Press What can I ask you? on an empty chat — or just ask it — and BlazerBot lists the kinds of question it can answer for you, with examples, and what it can't.
- Read the answer and where it came from. Click Yes or Not helpful under Was this helpful? — the club reads these to improve the guide.
- Follow it up in the same chat — “and for the girls?” — and BlazerBot keeps the conversation in mind until you click New chat or come back the next day.
It explains how things work and what the club and its season look like in total. It can't see anybody's records — whether someone is registered or on a team, who coaches it, what's been approved — and it doesn't give advice about a particular player, game or incident. For those, click Ask the club instead, which opens Submit a Question.
You can send up to 20 messages a day.
Asking the club
To ask a question or report a problem:
- Go to the page you're asking about, then choose Help > Submit a Question.
- Under What's it about?, choose Login, Functionality (something doesn't work), Refund Request (a question about a refund you've already asked for), Question for your AGC or Other.
- For Question for your AGC, choose the team under Which team is it about?. It goes to that team's Age Group Coordinator, who answers on the Help Desk. They see your name, never your email address or mobile.
- Describe the problem or question.
- Optionally add up to 3 screenshots, photos or PDFs.
- Click Send to the club.
The club can see which page you were on, so just say what you expected and what happened.
To ask for money back, don't use Submit a Question: click Request Refund instead (see Asking for a refund). Choosing Refund Request here says so too.
Help > My tickets lists everything you've sent, from any of the club's apps, marked New, Open or Closed. Club replied means the club is waiting on you. A refund shows where it's up to.
When the club replies you'll get an email. Reply to it, or open the ticket and answer underneath. Replying to a closed ticket reopens it.
For an incident, an injury or the facilities, use Help > Club feedback.
